Why BPOs train with Sterling Academy

A BPO lives on the trust of its clients. A bank sends you its card-holder calls, a health insurer sends you its claims queue, an online retailer sends you its refunds and chargebacks. Each of them hands you data that is not yours, and each of them is answerable to its own regulators, auditors and customers for what happens to it in your hands. That is why the security schedule in a BPO contract keeps getting longer, and why client audits now arrive with a list of training questions as well as technical ones.

The questions are predictable. Who has been trained? On what? When was the last refresher? Can you show me the record for this agent, on this floor, on this account? A client's assessor will usually pick a handful of names from your roster and ask for the evidence behind each one. A signed attendance sheet from a classroom session two years ago does not answer those questions well. A certificate for each person, linked to a named course and a final exam, and checkable by the assessor in seconds, does.

The standards and laws behind those contracts all say the same thing in different words. ISO/IEC 27001 asks you to decide what competence each role needs, to make sure people have it, and to keep evidence. PCI DSS asks for a security awareness programme, with training when people join and at least once every twelve months after that. SOC 2 auditors test whether your people know and follow the policies your controls depend on. HIPAA requires security awareness training for the workforce that handles protected health information. GDPR expects the people who process personal data to be trained in how to handle it. None of these frameworks accepts "we told them on day one" as evidence.

At the same time, your people work in shifts, across sites and often across countries. Agents join in waves for a new account, and attrition means you train new starters every month. Pulling a full floor off the phones for a classroom day costs you service levels and money. Training that agents can take online, on any device, in short sessions between shifts, fits the way a BPO actually runs.

Sterling Academy was built for exactly this. The courses come from the classroom training that Sterling's consultants have delivered to BPOs for years, and they carry the same content, now online and available 24/7. Each course ends with a final exam, and each person who completes it receives a verifiable certificate with a QR code that their employer, a client's auditor or a certification body can check. Sterling's classroom training certificates have been accepted by certification bodies at client audits, and the Academy carries the same content, so you can put the records in front of an auditor with confidence.

What each role in a BPO needs to know

The most common mistake in BPO training is to give everyone the same long course. Agents are bored by material written for the security team, and the security team learns nothing new from a basic awareness module. The BPO pack above is built by role, so each person takes only the courses that match their job.

Every agent. Agents are the people who hear card numbers read out, see a patient's claim history or open a customer's account. They need to understand what counts as sensitive data, why it matters to the client, and what they personally must and must not do: no card numbers on paper, no screenshots, clean desk, locked screen, how to spot social engineering, what to do when a caller asks for something unusual, and how to report an incident at once. The pack starts with Information Security and Data Privacy Awareness for BPO Employees, written for agents and set in contact-centre situations. It then adds short awareness courses on the frameworks your clients name in their contracts: ISO/IEC 27001, PCI DSS, HIPAA, GDPR and SOC 2. An agent can take the BPO course first and add the others for the accounts they work on.

Team leads and compliance staff. Team leads are the first line of control. They see the shortcuts people take on a busy shift, approve access, handle the first report of an incident and coach agents who make mistakes. Compliance and QA staff check calls and records against the client's rules. They need more than awareness: how controls work on the floor, how to supervise them, how to handle a breach report, and how to prepare a team for a client visit. Information Security and Data Privacy for BPO Team Leads and Compliance Staff covers that, and the pack adds awareness of SOC 2, business continuity (ISO 22301) and AI management (ISO/IEC 42001), which more and more client questionnaires ask about now that AI tools are used in contact centres.

The implementation team. These are the people who build and run the controls: your information security manager, compliance manager, IT security lead and the project team preparing for a certification or attestation. They need to know each framework well enough to design the controls, write the documents and gather the evidence. The pack gives them the implementation courses for ISO/IEC 27001, PCI DSS, SOC 2, HIPAA, ISO 22301 and ISO/IEC 42001. Every one of these is an implementation course, so the Implementation Pass opens all six, and every other implementation course in the catalogue, for less than buying them one by one.

Internal auditors. Every management system standard asks you to audit yourself before the certification body or your client does. Your internal auditors need to know the standard and how to audit: how to plan, sample, interview, judge evidence and write a finding that leads to real correction. The pack gives them the ISO/IEC 27001 and ISO/IEC 42001 internal auditor courses and ISO 19011, the international guidance on auditing management systems.

How the courses work

Every Sterling Academy course follows the same pattern, so your people know what to expect after the first one.

  • Online and on demand. Learners study on a laptop, tablet or phone, 24/7, at their own pace. Each course page shows the total learning time, including the module quizzes, exercises and final exam, so a team lead can plan it into a shift pattern.
  • Built from real classroom training. The content is the same as Sterling's classroom training, built by industry experts, domain specialist trainers and globally renowned auditors with 30+ years in ISO and GRC. Each course page has a sample video, so you can see the quality before you buy.
  • Practical examples. The examples come from working organisations, including contact centres, rather than from textbook definitions, so an agent recognises the situation the next time it happens on a call.
  • A real final exam. Each course ends with an assessed final exam. Awareness courses need 70% to receive the certificate; practitioner courses, which lead to a Certificate of Competence, need 60%. The retake rule is explained on each course page.
  • A certificate anyone can verify. Each person who completes a course receives a certificate with a QR code. A client's assessor scans it or checks it online and sees the learner's name, the course and the date. Learners can also share a badge on LinkedIn.
  • 12 months' access. Each course, and each pass, gives 12 months' access from the day it starts, so people can come back to the material before an audit.

Courses or a pass: the cheapest way to buy

Each role card on this page shows the courses that role needs, the price of buying them one by one, and the pass that opens them, when a pass is the better buy. We mark the cheaper option as best value, and we never show a saving that is not real.

The Awareness Pass costs US$99 and opens all 65 awareness courses for 12 months, so an agent who moves to a healthcare account later already has HIPAA, and one who moves to an EU client already has GDPR. The implementation team's courses are all implementation courses, so the Implementation Pass, at US$399 for every implementation course, is the natural choice for them. For the other roles, the card shows at today's prices whether the listed courses or a pass is cheaper, and marks that option as best value.

If one person needs most of the pack, for example a compliance manager who implements and audits, the All-Access Pass is the simplest choice. It opens every course in the catalogue, more than a hundred of them, for US$499 per person for 12 months.

A pass also removes a decision people tend to put off. Once a learner holds a pass, adding a course for a new customer, a new regulation or a new job costs nothing more for the rest of the 12 months, and that is often when the second and third courses get taken.

When you train 11 people or more, every price drops by 20% per person, and by 30% from 51 people. You can mix plans in one order: the Awareness Pass for every agent, single courses for team leads, the Implementation Pass for the security team and the Internal Auditor Pass for the audit team.

Training records that stand up to a client audit

Training only helps you in an audit if you can prove it happened. Sterling Academy gives a BPO three kinds of evidence.

The first is the certificate for each person: named, dated, tied to a specific course and final exam, and verifiable by QR code. When an assessor picks a name from your roster, you open that person's certificate in seconds.

The second is the company console. Your training administrator invites people, assigns each person only the courses their role needs, and sees who has started, who is in progress, who has stalled and who has finished, by course and by person. People who have not started are easy to find and remind.

The third is the report. You can download your training records for a client audit, a certification audit or your own management review, showing courses, people, dates and results.

Together, these replace spreadsheets and attendance sheets with a record that matches what the client's assessor is looking for.

A training plan for a new client account

Most BPOs meet a new training requirement when a new account starts, or when an existing client adds a security schedule at renewal. Here is a simple plan that works for most operations.

Week 1: map roles to courses. List the people who will work on the account and sort them into the four roles on this page: agents, team leads and compliance staff, the implementation team and internal auditors. Check the client's contract and security schedule for the frameworks it names, such as PCI DSS for card data, HIPAA for US health data or GDPR for EU personal data, and pick the matching courses from each role card.

Week 1: set up the console. Your training administrator invites each person and assigns their courses. People who work on several accounts get the courses for each account once, not twice.

Weeks 2 and 3: agents complete awareness training. Agents take the BPO awareness course first, then the framework courses for their account, in short sessions planned around the shift roster. Team leads use the console to see who has not started and follow up on their own teams.

Weeks 2 to 6: deeper training for leads, implementers and auditors. Team leads and compliance staff take their course and the related awareness courses. The implementation team works through the implementation courses alongside the actual work of building controls, so the training and the project support each other. Internal auditors complete their courses before the first internal audit.

Before the client audit: check the records. Download the training report, check that every person on the roster has a certificate for the courses their role needs, and keep the report with your audit evidence. New joiners follow the same path from week 1.

Services beyond training

Training is one part of what a BPO needs to win and keep clients. Sterling's expert and experienced consultants help BPOs achieve ISO/IEC 27001 certification and PCI DSS, SOC 2 and HIPAA compliance, simply and faster: gap assessments against the standard and the client's contract, documentation built for your operation, internal audits, and support through the certification audit or attestation. Sterling has completed 8,100+ client engagements in 60+ countries over 20+ years, and its consultants know the BPO floor: shift rosters, clean-desk rules, call recording, remote agents and the questions clients ask.

Frequently asked questions

Do our clients' auditors accept these certificates?

Each certificate names the learner, the course and the date, and can be checked online by QR code, which is the evidence a client's assessor or a certification body asks for. Sterling Academy courses carry the same content as Sterling's classroom training, whose certificates have been accepted by certification bodies at client audits.

Can agents take the courses on their phones between shifts?

Yes. Every course runs in the browser on a phone, tablet or computer, 24/7. Learners can stop and continue where they left off.

How often should agents be retrained?

PCI DSS asks for awareness training when people join and at least once every twelve months. Many client contracts ask for the same. Each course and each pass gives 12 months' access, which matches an annual training cycle.

We have agents on several client accounts. Do they all need every course?

No. Your administrator assigns each person only the courses their account needs. The Awareness Pass is useful when agents move between accounts, because it opens every awareness course for 12 months.

Can we train new hires every month as they join?

Yes. Invite new starters from the console when they join. Prices per person drop by 20% from 11 learners and by 30% from 51, and you can buy more places when you need them.

What is the difference between the Awareness Pass and the All-Access Pass?

The Awareness Pass opens every awareness course and suits agents. The All-Access Pass opens every course in the catalogue, including implementation, internal auditor and specialist courses, and suits compliance managers and security leads who need several levels.

Is the exam difficult?

The final exam checks that the learner understood what the course taught. Awareness courses need 70% and practitioner courses 60%. The course page shows the number of questions, the time and the retake rule.

Can Sterling help us get certified as well as trained?

Yes. Sterling's consultants help BPOs achieve ISO/IEC 27001 certification and PCI DSS, SOC 2 and HIPAA compliance. Ask for a team proposal on this page and a consultant will reply within one working day.

Our agents work remotely. Does that change the training?

Remote agents face the same rules as agents on the floor, plus a few of their own: a private workspace, no other person able to see the screen or hear the call, no personal devices for client data and a secure connection. The BPO awareness course covers working from home, and the console shows the same progress for remote and on-site staff.

Can we see a course before we buy it for the whole team?

Yes. Every course page has a sample video and the full outline. You can also buy one course for a team lead first, then roll it out to the floor.
